If your program and/or database crashes, refuses to run or starts doing strange things then follow the procedure below to fix it. The problem you could be having might be SQL QUERY ERRORS, GPF ERRORS, DLL ERRORS or information which is suddenly missing.


Perform a clean restart on your computer

    The first thing to do is to shut down your PC and restart it in order to clear Windows "memory leak" or "resource leak" problems. To do this ..
    1. Click on the Windows START button
    2. Choose SHUTDOWN
    3. Choose SHUTDOWN
    4. Wait until the computer has shut down and then switch off at the power point
    5. Wait 20 to 30 seconds
    6. Turn the power back on
    7. Start your computer as normal

    If you are using windows XP-Mode, Virtual-PC, VMWare Player, VMWare Workstation or Oracle VirtualBox to run your program on a 64-bit version of windows (Windows 7 64 bit or Windows 8 64-bit) then you need to SHUTDOWN the virtual machine first. To do this on the virtual machine ...

    1. HOLD DOWN THE WINDOWS KEY
      The windows key is in the bottom right hand corner of your keyboard between the CTRL and the ALT keys.

    2. PRESS THE "R" KEY
      While holding down the windows key press the letter "R" on your keyboard

    3. TYPE IN THE FOLLOWING COMMAND
      SHUTDOWN /S /T 1

    4. CLICK ON THE OK BUTTON
      Once you have types the correct command and clicked on the OK button the virtual computer will shut down (rather than hibernate). Normally when you close the virtual machine it will be hibernated so that when you open it up again it will open faster than normal but this won't clear any memory issues. When you restart the virtual machine after shutting it down (instead of hibernating it) then it will take some time longer to start up again (the first time).


Repair/Compact the Database

  1. RUN YOUR PROGRAM AS NORMAL
    Just start the program as you normally would - but don't do anything before you follow the next steps

  2. CLICK ON THE DATABASE MENU

  3. CHOOSE REPAIR/COMPACT DATABASE USING ACCESS V2
    This will exit the program and run a cut down version of Microsoft Access V2


  4. CLICK ON THE FILE MENU

  5. CLICK ON REPAIR DATABASE

  6. SELECT YOUR DATABASE FROM THE LIST OF FILES TO REPAIR

  7. CLICK ON THE OK BUTTON

  8. CLICK ON THE OK BUTTON
    The database repair will proceed and you will see a % complete scroll bar moving across the screen until it has completed the process when you will get a message telling you that it has been repaired
    So, click on the OK button


  9. CLICK ON THE FILE MENU

  10. CLICK ON COMPACT DATABASE

  11. SELECT YOUR DATABASE FROM THE LIST OF FILES TO COMPACT FROM

  12. CLICK ON THE OK BUTTON

  13. SELECT YOUR DATABASE FROM THE LIST OF FILES TO COMPACT INTO

  14. CLICK ON THE OK BUTTON

  15. CLICK ON THE YES BUTTON
    You will get a warning telling you that the file already exists and asking "Do you want to replace it?"
    You need to answer YES to this and then the database will be compacted and saved back under the original file name.

    The database compaction will proceed and you will see a % complete scroll bar moving across the screen until it has completed the process.
  16. REPEAT THE DATABASE REPAIR STEPS SHOWN ABOVE
    For some reason the repair/compact process may not work completely the first time you do it so repeat it (It's Irish ... to be sure, to be sure).

  17. REPEAT THE COMPACT DATABASE STEPS SHOWN ABOVE
    For some reason the repair/compact process may not work completely the first time you do it so repeat it.


  18. RUN YOUR PROGRAM AS NORMAL
    Just start the program as you normally would and see if the problems have been rectified


What happens if you can't run the program

If you can't actually run your program at all then you can still perform these steps by starting MS-Access manually.

  1. HOLD DOWN THE WINDOWS KEY
    The windows key is in the bottom right hand corner of your keyboard between the CTRL and the ALT keys.

  2. PRESS THE "R" KEY
    While holding down the windows key press the letter "R" on your keyboard

  3. TYPE IN THE PATH TO THE ACCESS PROGRAM
    The path to the program will be different based on which program of ours you are using. It will be one of the following ...

    • C:\Acctng\MSAccess.Exe
    • C:\Broker\MSAccess.Exe
    • C:\Nursing\MSAccess.Exe
    • C:\Payroll\MSAccess.Exe
    • C:\RentMstr\MSAccess.Exe
  4. CLICK ON THE OK BUTTON
    Once you have types the correct path and clicked on the OK bg:utton the MS-Access program will start and you can commence the repair/compact procedure.


What happens if it doesn't work

If you get errors when doing the repair or if the repair doesn't seem to have fixed the problem then you may need to restore your previous night's backup and re-process the entries from today.

If you decide to restore the database then it's a good idea to perform a repair.compact on it once it has been restored as the backed up database may also be partially corrupted.

What happens with Microsoft Access databases is that sometimes they get partially corrupted but they may appear to still be working OK however the more you use them the more corrupted they get until they fail to work at all.


Update Data Definitions

We store the database definition in a file with a *.DEF file extension. This file knows all about what data is stored in the database and how it is structured and when we make updates to that structure this file tells the program how to automatically make those changes to your database. Whenever you install a program update the program should automatically run an UPDATE DATA DEFINITIONS to make sure that your current database structure matches the structure required by the new version of the program. However, you can also run this update on an ad-hoc basis just in case you forgot to do it during the program update process. If the program detects that there are no changes required then it won't do anything so it can cause no harm to perform this process a second time. To perform an update of the data definitions follow this procedure ...

  1. RUN YOUR PROGRAM AS NORMAL
    Just start the program as you normally would - but don't do anything before you follow the next steps

  2. CLICK ON THE DATABASE MENU

  3. CHOOSE UPDATE DATA DEFINITIONS
    This will automatically start the update/check process for you.

  4. CLICK ON THE OK BUTTON
    When the process has finished it will tell you that and all you need to do is to click on the OK button. Then the program will check a number of other things for you. You may get multiple messages showing after this where you need to click on the OK button to proceed.


What if MS Access won't run?

If you get an error message when you try to run MSAccess then follow this procedure ...

  1. Hold down the WINDOWS button on your keyboared (in the bottom left hand corner of the keyboard)
  2. At the same time press the letter R
    This should open the Windows RUN dialog box
  3. Enter C:\Broker\MSA.exe or C:\RentMstr\MSA.exe or C:\Payroll\MSA.exe (depending on what program of ours you are using)
  4. Click on the OK button
  5. You should get a message box telling you to change the folder and then click on the UNZIP button - click on the OK button
  6. Change the folder to C:\Broker\ or C:\RentMstr\ or C:\Payroll\ (depending on what program of ours you are using)
  7. Click on the UNZIP button
  8. Click on the OK button to close the window when it has finished unzipping
  9. Try the repair again

FTP Database to GO Software

If none of these things work for you then you may need to send us a copy of your database. Please don't attempt to EMAIL your database to us as even a zipped up backup will probably be too large to get through most email servers (as most ISPs block large attachments).

You can send us your data using an automatic process from within the program itself using this procedure ...
  1. RUN YOUR PROGRAM AS NORMAL
    Just start the program as you normally would - but don't do anything before you follow the next steps.
    If you want to send us an older version of your data (eg RENT0405.Mdb) then you can just open that database as normal and follow these notes while it is open. Don't forget to change back to your normal database again afterwards.

  2. CLICK ON THE DATABASE MENU

  3. Choose FTP DATABASE TO GO SOFTWARE
    This will automatically zip up your database and send us a copy

  4. CLICK ON THE OK BUTTON
    You will be shown a message telling you what will happen next.

  5. ENTER THE WORD PROCEED
    You have to type in the word PROCEED in full to verify that you really want to do this.

  6. CLICK ON THE OK BUTTON
    Click on the OK button to continue to the next step.

  7. CLICK ON THE YES BUTTON
    You will be shown a message to tell you to make sure that no one else is using the program before you continue as if they are the process will fail. Click on the YES button to continue to the next step.

  8. WAIT WHILE YOUR DATABASE IS ZIPPED UP (COMPRESSED IN SIZE)
    You will see a black screen showing the progress of the ZIP operation which will close automatically when it has completed.

  9. CLICK ON THE OK BUTTON
    You will be shown a message telling you the results of the ZIP operation. Make sure that the size and date/time of the ZIP file look reasonable to you and then click on the OK button to continue to the next step.

  10. WAIT WHILE YOUR DATABASE IS SENT VIA FTP
    You will see a black screen showing the progress of the FTP operation which sends us a copy of your database via the internet and which will close automatically when it has completed.

  11. CLICK ON THE YES BUTTON
    You will be asked whether to send us a short email telling us that you have sent us a copy of your database. You can click on the YES button to send us that email of skip this step if you are going to send us a more detailed email later.

  12. CLICK ON THE OK BUTTON
    Finally you will see a message with further instructions. Please read them and follow them.

  13. SEND US A DETAILED EMAIL DESCRIBING YOUR PROBLEM

    Customers often send us emails saying something like "can't save the address for a new client". You need to tell us WHICH client and WHAT address you were trying to save. The more detailed information that you send us the easier it will be for us to look into your problem. Make sure that you send us the CODES rather than the NAMES for the customer, landlord, employee etc where you are having a problem.
